Privacy Policy
Last updated: September 19, 2026
This policy describes how Sip & Snap handles personal information across our website, online checkout, private galleries, and guest upload service.
Who we are
Sip & Snap is a Canadian wedding and celebration photo sharing service operated from Ottawa, Ontario. Our website is sipandsnap.ca. When we say "we," "us," or "our," we mean Sip & Snap.
What data we collect
We collect only the information you voluntarily provide:
- Order details — the name, email address, event date, and (for Signature and Premium) Canadian shipping address you give us when you pay for a package.
- Contact form submissions — your name, email address, event details (date, guest count, event type), and message. This is sent to us via your email app (mailto) and is not stored on our servers.
-
Referral attribution — if you visit with a
?ref=link on a page that uses our site script, the referral code and the time it was received are saved only in your browser’s local storage. If you submit our contact form, this code is included in your enquiry email. It is not stored on our servers, and remains in local storage until a new referral code replaces it or you clear your browser storage. - Photo and video uploads — photos and videos uploaded by your guests through the QR code or link. These are stored on our server in Ottawa.
We don’t use third-party analytics, advertising, or tracking scripts.
How we use your data
- To create and run your private gallery and QR code
- To process your order, produce your proof, and fulfil physical items
- To respond to your enquiries
- To send you order, proof, and shipping updates
Guest photo rights
Guests who upload photos retain full ownership of their images. By uploading, guests grant Sip & Snap a limited licence to display and store the photos within the private gallery. Uploading is one-way — guests cannot browse the gallery or see anyone else's uploads. Only the couple (album owner), and Sip & Snap for the purpose of running the service, can view the full gallery.
Where your data is stored
Order, account, payment-record, gallery, and proof data are all stored on Sip & Snap's own server hardware in Ottawa, Ontario.
A few parts of our data flow aren't Canadian-resident, and we want to be upfront about all of them:
- Payment processing — card details are handled entirely by Stripe and never reach Sip & Snap's own systems. Stripe's handling of payment data is governed by Stripe's own privacy policy.
- Transactional email — order confirmations, proof/shipping updates, and one-time sign-in links are sent through a third-party email delivery provider.
Data retention
- Photo galleries: kept for as long as your package's access window is active — 12 months with Scan & Share, 24 months with Signature and Premium — or longer if you've arranged an extension with us (a fee applies).
- Payment and accounting records: the minimum information required by Canadian tax and accounting law (invoice, payment/refund identifiers, amounts, and dates) is retained for six years, even after gallery media is deleted.
- Contact form data: since the contact form currently opens your own email client rather than submitting to us, we only retain what you choose to email us directly.
Who can access your data
You access your own order and gallery through a one-time sign-in link sent to your email — no password required. Sip & Snap's owner can access order and gallery data as needed to fulfil your order, review guest uploads for removal requests, and provide support. High-risk actions (like a refund or permanent deletion) are logged and require the owner to re-confirm their identity before proceeding.
Data sharing
We do not sell, rent, or share your personal data with third parties. We do not use third-party analytics, advertising, or tracking services. Our marketing site makes zero third-party requests — no cookies, no third-party trackers, no embedded content from other services. The one deliberate exception is Stripe Checkout during payment, which is a hand-off to Stripe's own secure, hosted page.
Security
We use industry-standard measures to protect your data, including encrypted connections (HTTPS) and secure server access controls. All uploads are processed over encrypted channels.
Your rights
You have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (including all uploaded photos)
- Unsubscribe from email communications at any time
To exercise any of these rights, contact us at [email protected].
Children's privacy
Our service is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
Changes to this policy
We may update this privacy policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. Continued use of our service after changes constitutes acceptance of the updated policy.
